Client Portal Notice

You are here because a pet care business you use runs its bookings on ResortKeeper. This page is for you, the pet owner: who you are dealing with, what happens to your information, and what it means to sign something on a screen.
The business you booked with — the kennel, daycare, groomer or trainer named in the portal — is your customer relationship. They set the prices, take your money, care for your animal, and are responsible for the records they keep about you. ResortKeeper (ResortKeeper Systems, operated by Brixon Web Services, Colorado, USA) is the software they use to do that. We process your information on their behalf and only to run the portal for them.
- You sign in with an email address and password, a Google account, or a passkey. Keep it private; it can see your pets' records and bookings.
- Your account is linked to one facility. Another facility using ResortKeeper cannot see it.
- To delete the account itself, email [email protected] from that address. To correct or remove what the facility holds about you, ask the facility — they control it, and we will help them do it.
- Bookings and pets: what you enter is stored on the facility's devices and mirrored to a cloud copy in the United States so their front desk and your phone stay in step. See the Privacy Policy for the full list of services involved.
- Payments: go through the facility's own Stripe, Square or PayPal account. ResortKeeper never holds the money and never sees your full card number.
- Email from the facility: booking confirmations, receipts and report cards are emailed to the address on your account. They are sent on the facility's behalf through our email delivery service, named in the Privacy Policy.
- The assistant chat: if you use it, your name, your pets' names and details, and your upcoming bookings are sent to Google's Gemini service so it can answer your question. It is not used if you do not open it.
- Nothing is sold or used for advertising.
When you sign an agreement in the portal — by drawing your signature and ticking the box — it has the same effect as signing on paper. The portal records your name, the time, the exact text you saw, and the device you used, and keeps the signed copy for the facility. The agreement is between you and the facility; ResortKeeper is not a party to it. You can ask the facility for a copy at any time.
Use it for your own pets and bookings. Don't try to reach other people's records or interfere with the service. The portal is provided as is; if something in it is wrong — a price, a date, a note about your animal — the facility's own records and staff are the authority, so tell them.
About your booking, your bill, or your pet: contact the facility. About the software or your account: [email protected]. These notices are governed by the laws of Colorado, USA.
Questions about this policy: [email protected]. ResortKeeper is built and operated by one person, so you will get an answer from the person who wrote the software.
